AI Usage & Governance Policy

AiCert° / AI Energy Limited · Version 2.0 — Effective 13/08/2026

1. Purpose

This Policy governs the use of AI within AiCert° and explains the safeguards applied to AI-assisted features.

2. AI is assistive

AI may assist with speech-to-text, photo analysis, drafting, classification, regulatory lookup and data population. Outputs are suggestions and must be reviewed by a qualified human.

3. Human oversight

No certificate should be issued solely on the basis of an AI output. The professional responsible for the work must verify the underlying facts, measurements, observations, calculations and applicable requirements.

4. Accuracy

AI systems can produce incorrect, outdated or fabricated information. Users must verify regulatory references and technical content against current authoritative requirements before relying on it.

5. No AI training

AiCert°'s contractual arrangements with AI processors are intended to prevent customer content submitted through AiCert° from being used to train or fine-tune public or foundation models.

6. Data minimisation

AI processing should be limited to the information necessary to provide the requested feature. Sensitive or unnecessary information should not be submitted where the feature does not require it.

7. Logging and audit

Where technically available, AiCert° may record AI-assisted actions, timestamps and human verification events to support auditability.

8. Professional accountability

AI does not replace professional qualifications, inspection, testing, certification duties or professional judgement. The user remains responsible for final outputs.

9. Third-party providers

AI services may be supplied by contracted processors. Their processing is governed by contractual, security and data protection controls described in the Privacy Policy.

10. Incidents

Suspected AI-related errors, security issues or inappropriate outputs should be reported to AiCert° promptly at aienergy.maintain@gmail.com.
